Report – Annual General Meeting

A successful AGM took place on 27th January at the Harlequins Petanque Club. Thirty-four (14% of voting members) members (Full Members – 13 and League Members – 21) were present from eleven affiliated clubs:

  • Monkstone PC (5)
  • The Vale PC (6)
  • Harlequins PC (4)
  • Twyn-Y-Ffrwd PC (2)
  • Pontyclun PC (5)
  • Sully PC (4)
  • Caerleon RFC PC (3)
  • Colwinston PC (1)
  • Wenvoe PC (1)
  • City of Llandaff PC (2)
  • Ystradowen PC (1)

The AGM covered several key points. Tony Smith (President) emphasised the importance of paying membership fees and club affiliation fees to maintain club affiliation and member voting rights.

The financial report given by Jean-Yves Robic (Treasurer) showed a small profit of £1,500 despite significant expenses for international competitions. The meeting also highlighted the importance of maintaining financial stability and the potential for future grants.

Sean Smith (Secretary) was re-elected unopposed for his second two-year mandate.

The new constitution and internal rules were approved, with changes including the restructuring of the Executive Committee, which is now called the Management Committee (MC). The new structure of the MC comprises:

  • National President
  • National Secretary
  • Treasurer
  • Membership Secretary
  • Development Officer.

Rob Glaves, the current Director of Publicity, has one year left in his current position and will remain on the MC until the 2027 AGM.

To maintain consistency during the current renewal period, Bernard Adshead has agreed to be co-opted as Membership Secretary until the 2027 AGM, when the position will become vacant.

The Development Officer role is currently vacant; if anyone is interested in being co-opted until 2027, please get in touch with me.

Job descriptions for all roles on the MC are included in the Constitution’s appendices.

There are obviously other changes to the new constitution, and I recommend that you all take the time to read it, along with the new internal rules, using the links below.

Two goals I stated were to introduce a web-based membership and a league reporting system in 2026, which will reduce the amount of paper required.

Finally, as both Jean-Yves and I stated in our reports, we will both be standing down at the 2027 AGM. Therefore, the Association will require a new National President and Treasurer. Please consider this, and if anyone would like to discuss either of the two roles, please speak to us.

To help to plan for 2027, I am arranging a meeting for Club Committees on Wednesday, 18th February, starting at 19h00.

Details will be sent out by Sean shortly.

Tony Smith
National President
